Privacy Policy
1. About VoteSafePA
VoteSafePA ("we," "us," "our," or "the Platform") is an independent, nonpartisan, nonprofit civic-education resource. The Platform exists solely to help Pennsylvania residents understand voter registration, polling procedures, absentee ballot processes, and election-related civic information.
VoteSafePA has no formal or informal relationship with any of the following: the Republican Party, the Democratic Party, the Libertarian Party, the Green Party, or any other political party or political action committee; any candidate for elected office at any level; the Pennsylvania Department of State or its Bureau of Elections; the United States Election Assistance Commission; any county board of elections; any federal, state, or local government department, agency, bureau, division, or office; any campaign organization, super PAC, 527 organization, or 501(c)(4) advocacy group; or any entity funded, directed, or supervised by a government body. References to Pennsylvania election law and procedures are for informational purposes only and do not constitute official government communications.
2. Scope of This Policy
This Privacy Policy explains how VoteSafePA collects, uses, stores, and protects information when you visit votesafepa.org and any associated subdomains or services (collectively, the "Site"). By using the Site, you acknowledge that you have read and understood this Policy. If you do not agree, please discontinue use of the Site.
This Policy applies exclusively to information collected through the Site. It does not govern information you may provide to third parties, government agencies, or other organizations — including any actual Pennsylvania election authorities — that you may access through links on this Site.
3. Information We Collect
3.1 Information You Provide Voluntarily
We may collect information you choose to provide, such as your name, email address, or zip code, when you subscribe to updates, submit a contact form, or otherwise communicate with us. Providing this information is entirely optional and voluntary. We will never require you to submit personally identifiable information as a condition of accessing the Site's educational content.
3.2 Automatically Collected Information
When you visit the Site, certain technical data is collected automatically by our hosting infrastructure and analytics providers. This may include: IP address (anonymized where possible); browser type and version; operating system; referring URL; pages visited and time spent; and general geographic location (state or region level only). This data is used solely for aggregate statistical analysis — such as understanding total visitor counts and which educational resources are most useful — and is not used to identify individual users.
3.3 Cookies and Similar Technologies
The Site may use first-party cookies to maintain basic site functionality (such as remembering display preferences). We do not use cookies to track users across third-party websites. We do not sell, rent, or trade cookie data. You may disable cookies in your browser settings; however, some Site features may not function as intended if you do so. We do not use fingerprinting, pixel tracking, or other persistent cross-site tracking technologies.
4. How We Use Your Information
Information collected through the Site is used strictly for the following purposes:
- Providing and improving the Site's educational content and user experience;
- Responding to direct inquiries or contact form submissions;
- Sending periodic email updates if you have opted in to receive them (with clear unsubscribe options in every message);
- Diagnosing technical errors or security vulnerabilities in the Site;
- Producing aggregate, anonymized usage statistics to understand how the Site serves the public.
We do not use your information for political profiling, voter targeting, partisan advocacy, fundraising, or any commercial purpose. We do not use your information to contact you on behalf of any candidate, party, or government agency.
5. Information Sharing and Disclosure
VoteSafePA does not sell, rent, license, trade, or share your personal information with third parties for commercial or marketing purposes. We do not provide personal data to political parties, campaigns, government entities, or data brokers.
We may share information only in the following limited circumstances:
- Service Providers: Trusted vendors who operate the Site's technical infrastructure (web hosting, email delivery, analytics) under strict contractual confidentiality obligations. These vendors are prohibited from using your data for any purpose other than providing services to VoteSafePA.
- Legal Compliance: When required by a valid court order, subpoena, or applicable law, and only to the extent required. We will notify affected users of such requests to the extent permitted by law.
- Safety: Where reasonably necessary to prevent imminent harm, fraud, or illegal activity.
In all cases, any disclosure is made to the minimum extent necessary and is not for political, governmental, or commercial purposes.
6. Third-Party Links
The Site may contain links to external websites — including official Pennsylvania government sites, county elections offices, and nonpartisan civic organizations — for reference and convenience. These links are provided as an educational service only. VoteSafePA does not endorse, control, or assume responsibility for the content, privacy practices, or policies of any external website. Your interactions with linked third-party sites are governed by those sites' own privacy policies. We encourage you to review the privacy practices of any external site before providing personal information.
7. Data Retention
We retain personally identifiable information only as long as reasonably necessary to fulfill the purpose for which it was collected. Contact form submissions and email correspondence are retained for no longer than twenty-four (24) months unless a longer period is required to respond to an ongoing inquiry. Email subscriber data is retained until you unsubscribe. Aggregate, anonymized analytics data may be retained indefinitely as it does not identify individuals. Upon request, we will delete or anonymize your personal data subject to any applicable legal retention obligations.
8. Your Privacy Rights
Depending on your jurisdiction, you may have the right to: access a copy of the personal information we hold about you; request correction of inaccurate information; request deletion of your personal information; object to or restrict certain processing of your data; and withdraw consent for optional communications at any time.
To exercise any of these rights, contact us using the information in Section 11 below. We will respond to verified requests within thirty (30) days. We will not discriminate against you for exercising these rights. VoteSafePA does not engage in automated decision-making or profiling that produces legal or similarly significant effects.
9. Data Security
We implement commercially reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, or destruction. The Site is served over HTTPS and uses industry-standard security practices for data storage. However, no system is perfectly secure. By using the Site, you acknowledge that we cannot guarantee absolute security and that you provide information at your own risk. In the event of a data breach that creates a reasonable risk of harm, we will notify affected users promptly and in accordance with applicable law.
10. Children's Privacy
The Site is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us immediately and we will take prompt steps to delete that information from our records.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will post a revised version with an updated effective date at the top of this page. We encourage you to review this Policy periodically. Continued use of the Site after the posting of changes constitutes your acceptance of the revised Policy. If we make changes that significantly reduce your rights, we will provide more prominent notice, such as an email to subscribers.
